ADMINISTRATOR JOB DESCRIPTION

Mission

Work with the board of directors to ensure that the association runs smoothly and efficiently and communicates with members to make sure they have easy access to association benefits, services and opportunities.

Profile

The administrator is a responsible, efficient, effective communicator, organized, self-motivated, trustworthy, friendly and professional individual who understands and can handle fast-paced direction.

Requirements

  1. Willing to work flexible hours.
  2. Possesses strong office management skills.
  3. Proficiency in using computers and software applications (word processors, spreadsheets, databases, email and internet).
  4. Strong knowledge of office equipment use (telephone, fax, etc.).
  5. Strong communications skills.
  6. Fluent in Arabic and English.

Responsibilities

Daily

  1. Provide assistance to the board of directors.
  2. Manage membership database and register.
  3. Communicate with members and answer their queries through telephone, fax and email.
  4. Act as a liaison between BFBA and its affiliates / alliances.
  5. Maintain communications through bulk mailings, faxes, email and press releases.
  6. Acts as main point of communication between the association board and members.
  7. Coordinate meetings logistics (book venues, notify attendees, prepare agendas & reports, prepare materials, take minutes, arrange photography, invite media, etc.).
  8. Collect new application forms, membership fees and issue receipt.

Monthly

  1. Administration of monthly board meetings and logistics (book venues, notify attendees, prepare agendas, prepare materials & reports, take minutes, etc.).
  2. Administration of monthly events and activities (book venues, prepare materials, invite media, notify members, distribute evaluation forms, collect payments, create name badges, confirm event logistics with vendors and speakers, prepare plaques, etc.).

Quarterly

  1. Coordinate with all concerned for the preparation and distribution of quarterly newsletters.

Annually

  1. Assist in the membership renewal process (track member renewals).
  2. Assist in the preparation of the Annual General Assembly meetings.
  3. Perform various special projects on an as-needed basis.
